Terms of Service
These Terms of Service ("Terms") govern your access to and use of the Charity Tools website monitoring and reporting platform. By accessing or using the Service, you agree to be bound by these Terms. If you do not agree to these Terms, you must not use the Service.
Use of the Service is also subject to our Privacy Policy and Cookie Policy, which are incorporated into these Terms by reference.

Definitions
- "Service" means the Charity Tools website monitoring and reporting platform, including the website at charitytools.co.uk, all associated tools, features, and content.
- "We", "us", or "our" means Anoveta Limited, trading as Charity Tools.
- "You" or "your" means the individual or organisation accessing or using the Service.
- "Account" means a registered user account on the Service.
- "Organisation" means a charity or other organisation registered on the Service, to which one or more users may belong.
- "Domain" means a website domain name submitted to the Service for checking.
- "Scan" means an automated check of a Domain carried out by the Service.
- "Report" means the digital health check report generated by the Service following a Scan.
- "Check" means an individual test performed as part of a Scan (for example, a domain expiry check or a broken link check).
- "Subscription" means a paid plan that provides ongoing monitoring of one or more Domains.
- "Free Plan" means the unpaid tier of the Service that provides a one-time shallow Scan.
- "Shallow Scan" means a Scan that checks key pages of a website and runs a subset of available Checks.
- "Deep Scan" means a comprehensive Scan that checks an entire website and runs all available Checks.
Account Registration and Security
- To use the Service, you must register an Account by providing your email address and the Domain you wish to check.
- You must provide accurate, current, and complete information when registering and keep your Account information up to date.
- You are responsible for maintaining the security of your Account, including any authentication links sent to your email address.
- You must not share your Account credentials or authentication links with anyone who is not authorised to access your Account.
- You must notify us immediately at hello@charitytools.co.uk if you become aware of any unauthorised use of your Account.
- We are not liable for any loss or damage arising from unauthorised use of your Account where you have failed to keep your credentials secure.
- An Account may be associated with one or more Organisations. Each Organisation may have multiple users with different roles and permissions.
Eligibility
- The Service is intended for use by non-profit organisations, including but not limited to:
- Registered charities (including those registered with the Charity Commission for England and Wales, the Scottish Charity Regulator, or the Charity Commission for Northern Ireland)
- Charitable Incorporated Organisations (CIOs)
- Unincorporated charities and associations
- Community Interest Companies (CICs)
- Social enterprises
- Not-for-profit organisations
- Community benefit societies
- By registering an Account or running a Scan, you confirm that your organisation falls within one of the categories listed above.
- If you are a for-profit organisation, you must contact us at hello@charitytools.co.uk for pricing before using the Service. Unauthorised use of the Service by for-profit organisations may result in suspension or termination of your Account.
Use of Service
- You may only use the Service to check Domains that you own, operate, or have explicit permission to check. By submitting a Domain for scanning, you confirm that you have the necessary authority to do so.
- The Service performs read-only Checks using publicly available information. We do not attempt to access your systems, accounts, or any private or restricted areas of your website.
- You must not use the Service:
- for any unlawful purpose or in violation of any applicable laws or regulations;
- to scan Domains belonging to third parties without their permission;
- to conduct security testing, penetration testing, or vulnerability scanning;
- to interfere with, disrupt, or place an undue burden on the Service or its infrastructure;
- to attempt to gain unauthorised access to any part of the Service, other users' Accounts, or our systems;
- to reverse-engineer, decompile, or disassemble any part of the Service;
- to resell, redistribute, or commercially exploit the Service or its outputs without our written consent; or
- to transmit any viruses, malware, or other harmful code.
- We reserve the right to suspend or terminate Accounts that violate these Terms, with or without notice, depending on the severity of the violation.
- We may impose reasonable limits on usage, including the number of Domains, Scans, or Reports, to ensure fair use of the Service.
Free Plan
- The Free Plan provides a one-time Shallow Scan of a single Domain.
- Free Plan Scans include a subset of available Checks. Certain Checks (identified as "Deep" Checks on our website) are only available on paid Subscriptions.
- Free Plan Reports are provided on a one-time basis. Ongoing automated monitoring requires a paid Subscription.
- We may limit the number of free Scans or Reports available per user or per Domain at our discretion.
- The Free Plan does not include scheduled Scans, email alerts for new issues, or access to Deep Checks.
Paid Subscriptions
Billing and Payment
- Subscriptions are billed on a recurring basis, either monthly or annually, as selected by you at the time of purchase.
- Subscription prices are based on your charity's self-reported annual revenue bracket, as displayed on our pricing page at the time of purchase.
- All prices are displayed in pounds sterling (GBP). We do not currently charge VAT.
- Payments are processed securely by Stripe. We do not store your payment card details on our systems.
- Acceptable payment methods include:
- Credit or debit card (Visa, Mastercard, American Express)
- Direct Debit
- Apple Pay and Google Pay
- Bank transfer (by arrangement for annual plans only — please contact us at hello@charitytools.co.uk)
- Subscriptions renew automatically at the end of each billing period unless cancelled before the renewal date.
- If a payment fails, we will attempt to collect payment again. If payment remains unsuccessful, your Subscription may be suspended or cancelled, and your Organisation's plan will revert to the Free Plan.
Subscription Features
- Paid Subscriptions include:
- Automated scheduled Scans (weekly by default, or daily if selected)
- Deep Scans of your entire website
- All available Checks, including Deep Checks
- Email alerts when issues are found
- Access to all historical Reports
- The ability to add unlimited team members to your Organisation
- The ability to pause and resume scheduled Scans
- Daily Scans are available at a premium of 25% above the standard weekly Scan price.
- Annual Subscriptions are offered at a discounted rate. Current promotional offers are displayed on our pricing page and are subject to change.
- We may add new Checks and features to the Service from time to time. All current and future Checks are included in paid Subscriptions at no additional cost.
Cancellation and Refunds
- You may cancel your Subscription at any time through your Account settings or by contacting us at hello@charitytools.co.uk. Annual Subscriptions require at least 30 days' notice before the next renewal date.
- Upon cancellation:
- Your Subscription will remain active until the end of the current billing period.
- You will continue to have access to paid features until the end of the current billing period.
- After the billing period ends, your Organisation will revert to the Free Plan.
- Your existing Reports will remain accessible.
- No refunds are provided for partial billing periods.
- If you believe you have been charged in error, please contact us at hello@charitytools.co.uk and we will investigate and correct any billing errors.
Price Changes
- We may change Subscription pricing from time to time.
- We will give you at least 30 days' notice of any price increase by email.
- Price changes will take effect at the start of your next billing period following the notice period.
- If you do not agree with a price change, you may cancel your Subscription before the new price takes effect.
Reports and Checks
- Reports are generated automatically based on the results of our Checks. They are intended to provide general guidance about potential issues with your website and Domain configuration.
- Reports are not a substitute for professional IT, legal, or compliance advice. While we aim to provide accurate and helpful information, the Checks are automated and may not identify all issues affecting your website.
- We present findings in plain English and categorise them by severity (action required, for information, and no issues found). These categorisations reflect our assessment but should not be treated as definitive.
- Certain Checks relate to legal or regulatory compliance (such as cookie consent, charity registration display, and accessibility). Our Checks can help identify potential issues, but we do not provide legal advice and you should seek independent professional advice where appropriate.
- Reports are accessible via unique links. You are responsible for controlling who you share Report links with.
- We may update, improve, modify, or remove our Checks at any time. This may affect the results shown in new Reports compared to previous ones.
Support Services
- General support for using the Service is available at no additional cost by contacting us at hello@charitytools.co.uk.
- We may offer paid technical support services to help you resolve issues identified in your Reports. These services are charged at our then-current hourly rate (currently £50 per hour excluding VAT) and are subject to separate agreement.
- We do not guarantee response times for support enquiries, but we will endeavour to respond within a reasonable timeframe.
Intellectual Property
- All intellectual property rights in the Service, including but not limited to the software, design, text, graphics, logos, and Report templates, are owned by us or our licensors.
- You may not copy, reproduce, modify, distribute, or create derivative works from any part of the Service without our prior written consent.
- You retain ownership of any data you submit to the Service (such as your Domain names and contact information).
- By using the Service, you grant us a limited licence to access, scan, and analyse your publicly available website content for the purpose of generating Reports.
- You may use and share your Reports for your own internal purposes, including sharing them with your IT team, trustees, or advisors.
- If you are a paid Subscription customer, we reserve the right to use your Organisation's name and logo for the purpose of identifying you as a customer of the Service, including on our website, in marketing materials, and in case studies. If you do not wish for us to use your Organisation's name or logo, please contact us at hello@charitytools.co.uk.
Data and Privacy
- We only collect and process personal data that is necessary to provide the Service, as described in our Privacy Policy.
- We do not sell your personal data to third parties.
- Reports are stored securely and are accessible only to members of your Organisation and anyone you share the Report link with.
- We use third-party service providers to operate the Service. These providers process data on our behalf and in accordance with our instructions. For details of the third-party providers we use, please see our Privacy Policy.
- We may collect and use aggregated, anonymised data about how the Service is used to improve our products and services. This data cannot be used to identify you or your Organisation.
- When you run a free Scan or register an Account, you will be subscribed to our product updates mailing list unless you opt out during signup. You may unsubscribe at any time by using the unsubscribe link in any email or by contacting us at hello@charitytools.co.uk.
- We may send you service notifications relating to your Account, your Scans, your Reports, or changes to the Service. These are transactional communications necessary for the operation of the Service and are not marketing communications. You will receive these regardless of whether you are subscribed to our mailing list.

Availability and Service Levels
- We aim to keep the Service available at all times, but we do not guarantee uninterrupted or error-free access.
- We may temporarily suspend the Service for maintenance, updates, or other operational reasons. Where possible, we will give advance notice of planned maintenance.
- We are not responsible for any loss or damage caused by the unavailability of the Service, including missed scheduled Scans.
- Scheduled Scans that are missed due to service disruption will not be retrospectively run unless you manually trigger a new Scan.
Disclaimer of Warranties
- The Service is provided on an "as is" and "as available" basis, without any warranties of any kind, whether express, implied, or statutory.
- To the fullest extent permitted by law, we disclaim all warranties, including but not limited to implied warranties of merchantability, fitness for a particular purpose, accuracy, and non-infringement.
- We do not warrant that:
- the Service will meet your specific requirements;
- the Service will be uninterrupted, timely, secure, or error-free;
- the results obtained from the Service (including Reports and Checks) will be accurate, complete, or reliable;
- any issues identified or not identified by our Checks reflect the full state of your website or Domain; or
- any defects in the Service will be corrected within any particular timeframe.
- Our automated Checks have inherent limitations. For example, accessibility Checks may identify approximately 30–40% of potential issues, and a manual review may be required to identify the remainder. Similar limitations apply to other Checks.
Limitation of Liability
- Nothing in these Terms excludes or limits our liability for:
- death or personal injury caused by our negligence;
- fraud or fraudulent misrepresentation; or
- any other matter for which liability cannot be excluded or limited under applicable law.
- Subject to the above, we shall not be liable for any:
- indirect, incidental, special, consequential, or punitive damages;
- loss of profits, revenue, data, business, or anticipated savings;
- loss of goodwill or reputation; or
- cost of procuring substitute services,
- Our total aggregate liability to you in respect of all claims arising under or in connection with these Terms shall not exceed the total fees paid by you to us in the 12 months immediately preceding the event giving rise to the claim.
- If you are using the Free Plan, our total liability to you shall not exceed £50.
- We are not responsible for any actions you take or fail to take based on the information in your Reports.
- We are not liable for any fines, penalties, or regulatory action taken against you, even if our Checks failed to identify the relevant issue.
Indemnification
- You agree to indemnify, defend, and hold harmless Anoveta Limited, its directors, officers, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in connection with:
- your use of the Service;
- your breach of these Terms;
- your violation of any law or the rights of any third party; or
- your scanning of Domains that you do not own or have permission to check.
Suspension and Termination
- We may suspend or terminate your access to the Service immediately if:
- you breach these Terms;
- we reasonably believe your Account is being used fraudulently or unlawfully;
- you use the Service to scan Domains without authorisation;
- your payment is overdue and remains unpaid after reasonable attempts to collect; or
- we are required to do so by law or regulatory authority.
- We may discontinue the Service at any time with at least 90 days' notice by email. If we discontinue the Service, we will refund any pre-paid Subscription fees for the unused portion of your billing period on a pro-rata basis.
- You may close your Account at any time by contacting us at hello@charitytools.co.uk. Closing your Account will cancel any active Subscription at the end of the current billing period.
- Upon termination:
- your access to the Service will cease;
- we may delete your Account data after a reasonable retention period, subject to any legal obligations to retain data; and
- provisions of these Terms that by their nature should survive termination will continue to apply (including, without limitation, the sections on Intellectual Property, Limitation of Liability, Indemnification, and Governing Law).
Changes to These Terms
- We may update these Terms from time to time. The most current version will always be available on our website.
- For material changes, we will notify you by email before the changes take effect.
- Your continued use of the Service after changes take effect constitutes your acceptance of the revised Terms.
- If you do not agree with any changes, you should stop using the Service and cancel your Subscription before the changes take effect.
General
- Entire Agreement. These Terms, together with our Privacy Policy and Cookie Policy, constitute the entire agreement between you and us regarding the Service.
- Severability. If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.
- Waiver. Our failure to enforce any right or provision of these Terms shall not constitute a waiver of that right or provision.
- Assignment. You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign our rights and obligations under these Terms to a successor in connection with a merger, acquisition, or sale of assets.
- Third Party Rights. These Terms do not confer any rights on any person or party other than you and us. No third party shall have any right to enforce any of these Terms under the Contracts (Rights of Third Parties) Act 1999.
- Force Majeure. We shall not be liable for any failure or delay in performing our obligations under these Terms where such failure or delay results from circumstances beyond our reasonable control, including but not limited to acts of God, natural disasters, pandemic, war, terrorism, government action, power failure, internet or telecommunications failure, hosting provider or server failure, or denial-of-service attacks.
Governing Law and Disputes
- These Terms, and any non-contractual obligations arising out of or in connection with them, shall be governed by and construed in accordance with the laws of England and Wales.
- Any disputes arising out of or in connection with these Terms (including non-contractual disputes) shall be subject to the exclusive jurisdiction of the courts of England and Wales.
- We will use our best efforts to negotiate in good faith and settle any dispute that may arise. Any dispute shall not affect our ongoing obligations under these Terms.
